RFPflow · Evaluate vendors
Aavenir AI drafts the scores. Your experts make the call.
Evaluators score only the sections assigned to them, while Aavenir AI scores each bid against your weighted criteria, writes a summary and recommends suppliers. Every score can be accepted or changed, and both stay in the audit history.
Definition
What is vendor evaluation software?
Vendor evaluation software scores supplier responses to an RFx against criteria and weights set before the bids arrive, collects each evaluator's scores and comments, and puts totals side by side so the award has a record behind it.
In RFPflow, subject matter experts score only their assigned sections, Avy auto scores every bid and writes the evaluation summary, and offline scores upload in bulk from Excel. Bids sit beside past contract performance and obligation history, so the scorecard is not the only evidence.
- Mandatory requirements work as a gate before scoring
- Experts score only the sections assigned to them
- Aavenir AI drafts scores, summaries and supplier recommendations
- Past SLA and obligation history beside each bid

How it works
How bids get scored, and who signs off.
-
Each evaluator sees only the sections assigned to them Scores from offline reviews upload in bulk from Excel Price is scored by formula, not by hand.
-
Each response read against the weighted criteria A summary per supplier, with strengths and gaps Bids missing a mandatory requirement are called out.
-
SLAs met and obligations closed with evidence on past contracts Accept or change every AI score, with a comment The award stays a human decision, recorded in the audit history.
Why evaluation goes wrong
A score is only as good as the record behind it.
Evaluation fails when scoring is manual, unexplained or blind to how a supplier performed before.
Manual shortlisting
A petfood manufacturer shortlisted and evaluated by hand, and struggled to compare ingredients across vendors, before moving RFQs to RFPflow.
Scores without reasons
Debriefs and audits need to show why the winner won. Scores, comments and the award reason sit on one record.
Bids judged on paper alone
A proposal says what a supplier will do. Obligation history shows what it did on your last contract.
Results
What customers report after moving to Aavenir.
We always had to manually create, edit, deliver, organize, and evaluate our RFx process. Aavenir has saved us countless hours of administrative work. Everything is organized in one place now, and we can respond to suppliers twice as fast.

Aavenir and the alternatives
How Aavenir compares with the other ways teams do this.
| What matters | Aavenir RFPflow | Sourcing suites | Email and spreadsheets |
|---|---|---|---|
| Where RFx events run | On ServiceNow or standalone, from templates and a question library | Their own platform | Attachments in email threads |
| Scoring | AI bid scoring and evaluation summaries, and a person decides | Weighted scoring, AI support varies | Manual scoring sheets |
| From award to contract | The award becomes a Contractflow draft with the scoring attached | Often a handoff to a separate contract lifecycle management platform | Terms retyped into a contract |
| Supplier onboarding and risk | Onboardingflow on the same record, with data from third party or vendor risk management tools | Often a separate module or product | Questionnaires by email |
| Where others can be stronger | Focused on source to contract on one record | Broad suites also cover catalogs and more spend categories | No setup at all |
Comparisons describe categories of tools, not named products. For named comparisons, see Aavenir compared.

Common questions
How does AI score RFP responses?
Aavenir AI reads each response against the weighted criteria you set before publishing, drafts a score and summary for every section, and recommends suppliers. Evaluators then accept or change each score, and the audit history keeps both. Meet Avy.
Can evaluators override AI scores?
Yes, always. Subject matter experts score their own sections, can accept or change every AI score, and add a comment when they do. The award remains a human decision recorded in the audit history. See RFPflow.
How are RFP responses evaluated fairly?
Fix criteria and weights before any response arrives, treat mandatory requirements as a gate, have experts score their sections independently, score price by formula, then compare totals side by side. Write down why the winner won. See RFP creation.
