Definition
What is vendor onboarding software?
Vendor onboarding software collects a new supplier's details and documents, verifies them against your rules and third party data, routes the approvals, and activates the supplier only once every check has passed.
In Aavenir Onboardingflow, the workflow adapts by vendor type, products and geography. Aavenir AI reads insurance, policy and security documents, and D&B, Equifax and LexisNexis data confirm identity, finances and sanctions. Only approved vendors move on to sourcing in RFPflow, to contracts and to invoices.
- One record from registration to activation
- Suppliers register and update details through a self service portal
- Aavenir AI verifies insurance, policy and security documents
- Third party data checks identity, finances and sanctions
- Alerts go out before documents expire, and reviews run on a schedule
Why onboarding drags
Most supplier risk enters at the front door.
Four habits that make onboarding slow and still let the wrong suppliers through.
Onboarding by email
Forms, certificates and bank letters arrive as attachments, and someone retypes them. Self service portal. Documents uploaded once. Bulk onboarding.
One process for every supplier
A local cleaning firm and a global cloud vendor get the same questionnaire. Rules by vendor type. Steps by product and geography. Extra review for higher risk.
Checks done once
A supplier is vetted at signup, then its insurance lapses and nobody notices. Expiry alerts. Scheduled reviews. Updates through the portal.
Unapproved vendors get paid
Purchases start before the supplier is cleared, and AP finds out at the invoice. Approval before activation. Vendor master written back. Invoiceflow sees only active suppliers.
How it works
From registration to an approved supplier.
-
Self service registration with the documents your rules require Starts from an RFPflow award or a direct request Bulk onboarding when many suppliers join at once.
-
Rules by vendor type, products and geography Higher risk categories add steps and reviewers Lower risk suppliers move through faster.
-
Aavenir AI checks insurance, policy and security documents against your criteria D&B, Equifax and LexisNexis data on identity, finances and sanctions Risk ratings from your third party risk management tool beside the record.
-
Only approved vendors move on to sourcing, contracts and invoices. On ServiceNow, approved vendor details write back to the Vendor Master.
-
Alerts before insurance and certificates expire Scheduled information reviews Suppliers request changes through the portal.

|---|---|---|---|
| Where RFx events run | On ServiceNow or standalone, from templates and a question library | Their own platform | Attachments in email threads |
| Scoring | AI bid scoring and evaluation summaries, and a person decides | Weighted scoring, AI support varies | Manual scoring sheets |
| From award to contract | The award becomes a Contractflow draft with the scoring attached | Often a handoff to a separate contract lifecycle management platform | Terms retyped into a contract |
| Supplier onboarding and risk | Onboardingflow on the same record, with data from third party or vendor risk management tools | Often a separate module or product | Questionnaires by email |

Common questions
What does vendor onboarding software check?
Onboardingflow checks what your rules require for each vendor type. Aavenir AI reads insurance, policy and security documents against your criteria, and D&B, Equifax and LexisNexis data confirm identity, finances and sanctions. A person approves before the supplier is activated. See vendor risk management.
Can suppliers update their own details?
Yes. Suppliers register and send update requests through the self service portal, so bank details, contacts and certificates change on the record rather than in an email thread. Scheduled reviews and expiry alerts prompt them before documents lapse. See procurement contract management.
Does Onboardingflow work with the ServiceNow Vendor Master?
Yes. On ServiceNow, approved vendor details are written back to the Vendor Master, so procurement, finance and sourcing work from the same supplier record. Teams without ServiceNow run the same portal, checks and approvals standalone. See ServiceNow contract management.
How does an RFP award start supplier onboarding?
When RFPflow records an award, the winning supplier moves to Onboardingflow with the event details attached, and risk ratings from your third party risk management tool can sit beside the record. Once approved, the same supplier is ready for a contract and for invoices. See source to contract.
