Invoiceflow · Payments visibility
Where is my payment? Answered before anyone asks.
Invoiceflow shows payment status to AP, budget owners and suppliers from the same invoice record. Suppliers check an invoice in the portal and budget owners see what waits on them, so status questions do not need an email thread.
Definition
What is payments visibility?
Payments visibility means the AP team, the budget owner and the supplier can all see where an invoice stands, what is blocking it, and when it is expected to be paid.
In Invoiceflow, payment status is visible to AP, budget owners and suppliers from the invoice record. Because each invoice is matched to the PO, the goods receipt and the signed contract, the status also explains a hold, for example a billed rate above the contract rate.
- One status, seen by AP, budget owners and suppliers
- Blockers visible at every processing stage
- Holds explained by the line and contract term involved
- On ServiceNow, status sits in the instance AP already uses
Our customers
Procurement, legal, IT, finance, and sales teams run their contracts on Aavenir.

How it works
Three views of the same invoice.
-
Invoices by stage, from capture to payment Blockers named at each stage Exceptions listed with their reason.
-
Approvals and receipts that need the budget owner The contract term behind each exception Approve or hold from the record.
-
Suppliers see their invoices and status in the portal A hold shows its reason, so the supplier knows what to fix Corrected invoices come back through the same portal.
Watch

Customer context
Late answers cost supplier goodwill.
Status questions are a symptom. The cause is that nobody outside AP can see the invoice.
Small invoices, big relationships
Thrive Networks found that delays on small-spend invoices hurt cash flow and vendor relationships. It now runs 100% paperless invoicing.
Hundreds of vendors asking
The State of Utah DTS works with more than 600 IT vendors. On Invoiceflow it reports better collaboration and a 70% faster invoice lifecycle.
No view of blockers
Stage by stage status names the step an invoice waits on, and who owns it.
Results
What customers report after moving to Aavenir.
SoU had a custom-built purchase application on ServiceNow, which runs to our expectations. However, we knew that building an AI-enabled invoice processing solution on ServiceNow and integrating it to our purchasing system was definitely going to be a time-consuming project, which would need skilled ServiceNow resources.

Aavenir and the alternatives
How Aavenir compares with the other ways teams do this.
| What matters | Aavenir Invoiceflow | Standalone AP tools | Manual accounts payable |
|---|---|---|---|
| Capture | Invoices from email and the supplier portal, extracted with AI and OCR, bundled files split | Often strong capture and OCR | Keyed in by hand |
| Matching | 2 and 3 way matching against the PO and the goods receipt | PO matching is standard | Spot checks |
| Contract terms | Each invoice checked against the signed contract's pricing, discounts and tax terms | Rarely connected to the contract record | Whatever the reviewer remembers |
| Where it runs | On ServiceNow or standalone, connected to your ERP | Their own platform with ERP connectors | The ERP plus spreadsheets |
| Where others can be stronger | Focused on checking invoices against the contract | Some AP suites also run supplier payments end to end | No new system to learn |
Comparisons describe categories of tools, not named products. For named comparisons, see Aavenir compared.

Common questions
What is payment status visibility?
Payment status visibility means AP, the budget owner and the supplier can see where an invoice stands, from capture through matching and approval to payment, and what is blocking it. Invoiceflow shows all three the same status. See Invoiceflow.
Can suppliers see their invoice status?
Yes. Suppliers see their invoices and payment status in the Invoiceflow supplier portal, including the reason for any hold, and can send corrected invoices through the same portal. See invoice workflow.
Why would an invoice be on hold?
Common reasons are a missing goods receipt, a match below the confidence threshold, or a billed price, discount or tax that differs from the signed contract. Invoiceflow names the line and the term involved so the fix is clear. See invoice to contract compliance.
