What is invoice management?

Invoice management is how accounts payable receives, validates, approves and pays supplier invoices, then records each payment in the company books.

How invoice management works

Also called invoice processing, it starts when a supplier invoice arrives by email, portal or paper. The accounts payable team captures the data, checks the invoice is genuine and matches what was ordered and received, routes it for approval, schedules payment and posts the transaction to the ledger.

Each hand-off is a chance for delay. When invoices travel as email attachments between buyers, approvers and finance, they get lost, keyed twice or paid twice.

Why it matters

Accurate invoice handling protects cash and supplier goodwill. Manual data entry invites typos, transposed numbers and duplicate payments. Slow approvals mean missed early payment discounts and late fees, and suppliers who chase payment cost the team time.

Automating capture and approval routing gives finance a single view of what is owed, what is waiting and why, and leaves people to handle the exceptions.

How Aavenir handles it

Invoiceflow reads incoming invoices, checks each line against the purchase order, the receipt and the rates in the contract, and routes only the exceptions to a person. A person approves every AI action, and the full history sits on the invoice record.

Frequently asked questions (FAQ)

Common questions

What is the difference between invoice management and accounts payable?

Accounts payable is the money a business owes its suppliers and the team that pays it. Invoice management is the part of that work that handles each invoice, from receipt and checking to approval and payment. Read about accounts payable.

What are the steps in invoice management?

Receive the invoice, capture its data, validate it against the purchase order and receipt, route it for approval, schedule the payment and record it in the books. Exceptions such as price or quantity mismatches go back for review. Read about invoice matching.

How does automation help invoice management?

It removes manual keying, flags duplicates and mismatches before payment and sends each invoice to the right approver automatically. Staff then spend their time on the invoices that genuinely need a decision. See Invoiceflow.
