What is an inventory management system?

An inventory management system is the software, hardware and processes that track and maintain stock, from raw materials and supplies to finished goods.

What it does

The system records what stock a company holds, where it sits and how it moves. It covers company assets, raw materials and supplies, and finished goods waiting to ship to customers. Barcode or radio frequency scanners, warehouse software and the enterprise resource planning system usually work together to keep the counts accurate.

  • Track stock levels and locations in real time.
  • Trigger reorders when stock falls below set points.
  • Record goods received against purchase orders.
  • Support counts, audits and valuation.
  • Report on turnover, slow moving stock and shortages.

Why it matters

Too much stock ties up cash and warehouse space. Too little stops production and disappoints customers. Accurate inventory data also feeds procurement: it tells buyers what to order and when, and the goods receipt it records is one of the documents an invoice must match before payment.

What is the difference between inventory management and warehouse management?

Inventory management decides what stock to hold and when to reorder. Warehouse management runs the physical operations inside a warehouse, such as receiving, storage, picking and shipping. Many systems do both. Read about vendor managed inventory.

How does inventory management connect to procurement?

What data does an inventory system need?
