What is electronic procurement?

Electronic procurement, or eProcurement, is buying supplies, equipment, works and services through web based or networked systems instead of paper and email.

How it developed

Electronic procurement began with electronic data interchange in the 1980s, which let businesses send orders and invoices to each other as structured files rather than paper. Web portals, supplier networks and cloud software followed. Today it covers the whole buying process, connecting the organization, its suppliers and other partners in shared digital workflows.

What it includes

  • Electronic sourcing and tendering
  • Electronic purchasing: catalogs, requisitions and purchase orders
  • Supplier portals for onboarding, orders and invoices
  • Electronic invoicing and payment
  • Contract management and spend reporting

The gains come from speed, fewer errors, better control over who buys what, and data that shows where money goes.

How Aavenir handles it

Aavenir covers the contract centered parts of electronic procurement, natively on ServiceNow or standalone. RFPflow runs sourcing, Onboardingflow brings suppliers in through a portal, and Invoiceflow checks invoices against contracts.

Making adoption stick

Electronic procurement only works if people use it. Keep the buying route simple, put contracted suppliers in catalogs, make approvals quick and show requesters where their order stands. Supplier adoption matters too: a clear portal gets more invoices in electronically.

Frequently asked questions (FAQ)

Common questions

What is the difference between electronic procurement and electronic purchasing?

Electronic procurement is the broad term for the whole digital buying process, including sourcing and contracts. Electronic purchasing usually means the ordering part: requisitions, catalogs and purchase orders. Read about electronic purchasing.

What are the benefits of electronic procurement?

Faster cycles, fewer manual errors, stronger approval controls, better compliance with contracted suppliers and clear spend data. Suppliers gain from portals and quicker payment. Better data also improves the next negotiation. Read about procure to pay software.

Does electronic procurement include contract management?

In a full source to pay approach, yes. Contracts hold the terms that orders and invoices should follow, so they need to sit in the same flow. Orders and invoices can then be checked against it. See RFPflow.
