What is an approved supplier?
An approved supplier is a vendor that has passed the buyer's qualification, or won a formal tender, for set goods or services, so purchases of those items go to it.
How suppliers become approved
In the public sector, an approved supplier is often one that won a government, consortium or national tender for a range of items, and ongoing business for those items goes to it. In private companies, approval follows onboarding and qualification: checks on quality, cost, delivery, finances, compliance and risk.
The approved supplier list
Most procurement teams keep an approved supplier list that links each item or service to the suppliers allowed to provide it. A good list sits in one controlled repository and records each supplier's status, for example:
- Approved. Has met quality, cost and delivery requirements over time.
- Conditional. Approved with limits or under review.
- Not approved or suspended. Not to be used.
The list steers buying toward vetted suppliers and cuts maverick spending.
How Aavenir handles it
Onboardingflow verifies suppliers before activation, with Aavenir AI checking documents and third party data confirming identity, finances and sanctions. Approved status sits on the supplier record, and expiring documents trigger a recheck.
Keeping the list useful
A list that nobody maintains does more harm than good. Assign an owner, remove suppliers that are no longer used, flag expiring documents and make the list easy for buyers to search when they raise a request.

Common questions
What is an approved supplier list?
A controlled list that links goods and services to the suppliers allowed to provide them, with each supplier's status. It guides buyers toward vetted suppliers. Keep it in one controlled place. Read about vendor onboarding.
How do you get on an approved supplier list?
By passing the buyer's qualification: registration, documents, quality and financial checks and a risk review, or by winning a formal tender for the items. Approval is only as good as the checks behind it. See Onboardingflow.
How often should approved suppliers be reviewed?
On a regular cycle based on risk, and whenever performance, ownership or certifications change. Expired insurance or certifications should suspend approval until renewed. Read about vendor risk assessment.
