How to monitor contract status on ServiceNow and keep every contract in force. updated: 2026-11-07 --- [Home](https://aavenir.com/) / [Blog](https://aavenir.com/blogs/) / Monitoring contract status Contract management on ServiceNow # Keep your contracts alive: how to monitor contract status on ServiceNow A contract that is signed and filed is not managed. Monitoring status means knowing, every day, which version is in force and what is coming next. SM **Sonal Mehta**Aug 16, 2021 · 4 min read Many organizations still manage contracts in shared folders, spreadsheets and filing cabinets. Contracts move from desk to desk, versions multiply, and the status of an agreement depends on who you ask. The results are familiar: invoices for contracts everyone thought had ended, supply interrupted because an agreement quietly expired, and suppliers whose performance nobody measured. Contract management on ServiceNow puts the whole process, from request to drafting, negotiation, approval, electronic signature and monitoring, on the platform many IT and procurement teams already run. This guide covers the five status problems teams hit most often and how monitoring on ServiceNow addresses each. Key takeaways - Keep one record per contract with full version history - Alert owners at the notice date, an internal review date and the end date - Watch for expiring risk protections, not only expiring supply - Measure supplier performance against the contract’s own terms - Track compliance obligations with owners and evidence ## Why monitor contract status on ServiceNow? IT leaders in many organizations are consolidating workflows onto ServiceNow to reduce the number of standalone systems they support. Contracts fit naturally: requests already arrive through the service portal, approvals already route through it, and supplier and asset records often live there. Managing contracts on the same platform means status is visible where the work happens, under the same roles and audit history. See [contract management on ServiceNow](https://aavenir.com/built-on-servicenow/). ## Problem one: losing track of versions "Is this amendment the current one?" is a question no contract manager should have to ask. When drafts circulate by email and files are named inconsistently, it is easy to lose the version that was signed or miss an amendment. Deleting old copies without certainty is worse, because the information may be gone for good. The fix is a single record per contract with every draft, redline, signed version and amendment linked, each showing who saved it and when. Nothing is deleted, and the version in force is always marked. See [contract versions](https://aavenir.com/glossary/contract-versions/). ## Problem two: unwanted auto renewals "We received an invoice for a contract we thought had ended." Auto renewal clauses extend an agreement unless someone gives notice by a set date, often months before the end of the term. Miss it and you are committed to another term of something you may not want. To prevent this, monitoring should raise three alerts for every contract with renewal terms: - **The notice date:**the last day to give notice of non renewal or renegotiation. - **An internal review date:**early enough before the notice date to decide what you want. - **The end of term:**the date the contract actually expires or renews. In [Contractflow](https://aavenir.com/solutions/enterprise-contract-management-software/), Aavenir AI extracts renewal terms and notice periods from the signed agreement, and owners receive alerts well before each date. See [contract renewal management](https://aavenir.com/use-cases/contract-renewal-management/). ## Problem three: contracts that expire unnoticed The opposite failure is just as costly. A supply agreement expires, deliveries stop, and the business has to renew on worse terms or find another supplier in a hurry. Less visibly, when an agreement lapses, protections such as liability caps, indemnities and exclusions may lapse with it, while the work carries on. Performing under an expired contract exposes the organization to risk it thought it had covered. Monitoring should flag every contract approaching expiry with enough time to renew, renegotiate or replace it, and show which active work depends on it. See [contract expiry](https://aavenir.com/glossary/contract-expiry/). ## Problem four: not assessing supplier performance A contract sets the standards a supplier agreed to: service levels, delivery times, quality measures. If nobody compares performance to those standards, missed targets go unremarked and service credits go unclaimed. Over time the relationship drifts, and at renewal you have no evidence to negotiate with. Link each contract to its performance measures, review them on a schedule and record the results. A [vendor scorecard](https://aavenir.com/glossary/vendor-scorecard/) and [service credit recovery](https://aavenir.com/use-cases/service-credit-recovery/) turn those terms into action. ## Problem five: poor compliance monitoring Contracts carry obligations on both sides: insurance certificates to renew, data protection commitments, audit rights, reporting duties, regulatory requirements. Without tracking, an obligation can be missed for months before anyone notices, and the first sign is often a dispute or an audit finding. [Obligationflow](https://aavenir.com/solutions/contract-obligation-management-software/) extracts obligations from each executed contract, and once a contract manager approves the list, assigns each to an owner with a due date. Evidence that comes back is checked against the clause, so compliance is visible on the contract record. **See contract status monitoring on ServiceNow**Bring a few signed contracts. On ServiceNow, one record per contract, automatic alerts for notice and end dates, linked versions and tracked obligations and performance keep every agreement in force and doing what it was signed to do. ### In this article - Why monitor contract status on ServiceNow? - Problem one: losing track of versions - Problem two: unwanted auto renewals - Problem three: contracts that expire unnoticed - Problem four: not assessing supplier performance - Problem five: poor compliance monitoring - What does good contract monitoring look like? **Monitor contract status on ServiceNow**Aavenir AI extracts dates and obligations, owners get alerts, and a person approves every result.
