Vendor validation is confirming that a supplier is legitimate and that its details are correct, so the business does not pay fake or outdated suppliers. ## What gets validated - Legal name and registration. - Tax identification number. - Bank account details and ownership. - Address and contact details. - Certifications, insurance and, where relevant, diversity or small business status. - Checks against sanctions and debarment lists. ## Why it matters Validation protects against fraud, such as fake suppliers or altered bank details, and against paying a supplier that has rebranded, moved or gone out of business. Supplier details change often, so validation is not a one time task at onboarding. It must be repeated when details change and checked on a regular cycle. ## Reporting needs Procurement teams are often asked to report on their suppliers in many ways, for example public sector buyers who must show spend with small businesses. Those reports are only as good as the validated data behind them. ## How Aavenir handles it [Onboardingflow](https://aavenir.com/solutions/vendor-onboarding-software/) collects supplier details through a portal, checks documents and routes changes to sensitive data, such as bank details, through approval before they take effect. ## Keep reading [Vendor onboarding Vendor onboarding is collecting, checking and approving a new supplier's details before the first order or payment. At onboarding, whenever key details such as bank accounts change, and on a regular cycle for active suppliers. Changes to payment details deserve the closest checks. By confirming the supplier exists and that payment details really belong to it before money moves. Many payment frauds rely on a changed bank account that nobody verified. Usually procurement or a supplier data team, with accounts payable and compliance involved. Suppliers keep their own details current through a portal, under the buyer's checks.
