# What is the procurement cycle?

The procurement cycle is the repeating sequence of steps an organization follows to buy goods and services, from identifying a need through choosing a supplier, ordering, receiving and paying.

## The main steps

- **Identify the need.**what is required, how much and by when.

- **Find suppliers.**build a list of qualified options.

- **Select and negotiate.**compare offers and agree terms and a contract.

- **Raise the purchase order.**the formal order to the supplier.

- **Receive.**goods or services checked against the order.

- **Reconcile and pay.**match the invoice to the order and receipt, then pay.

## Why it is a cycle

The end of one purchase feeds the next. Supplier performance, actual cost and lessons learned shape future needs and sourcing choices. There is no one size fits all version: the size and nature of the organization, and the type of purchase, decide which steps matter most.

A well run cycle shortens delivery times, keeps prices in line with agreed terms and builds better supplier relationships. Weak links, such as an order raised without a contract or an invoice paid without a receipt, are where money and control are lost.
