MR **Mohamed Reza**Jun 01, 2025 ยท 4 min read Contract lifecycle management (CLM) has moved from a nice to have to a core business system. Contract volumes keep rising, regulation keeps tightening and leadership expects faster, cleaner deals. Yet many implementations underdeliver, usually because of weak planning, thin stakeholder support or goals nobody agreed on. The difference between a project that pays off and one that simply digitizes old habits is a structured approach that deals with both the technology and the organization. These ten steps cover that path, from setting objectives to driving adoption after go live. Key takeaways - Set measurable objectives and record a baseline before you look at vendors - Map your current process honestly, including where contracts stall - Build a cross functional team with an executive sponsor who can break ties - Standardize templates and clauses before you automate them - Roll out in phases, migrate legacy contracts carefully and train by role ## Step 1: Define your contract management objectives Start with goals, not features. Decide what the business needs to change: shorter cycle times, better compliance, more visibility across departments or fewer missed renewals. Make each goal measurable and tie it to a strategic priority. Talk to legal, procurement, sales and finance. Procurement may care most about supplier performance, legal about risk and compliance, sales about faster deals. Write the objectives down and record today's numbers, so you can show improvement later. ## Step 2: Assess your current process and workflows Map the full lifecycle from request to renewal or termination. Note who does what at each stage, the approval hierarchy, the review cycles and every handoff. Pay closest attention to the points where contracts wait. Find out where contracts actually live. Many organizations discover agreements spread across email, shared drives, personal laptops and filing cabinets. Interview the people who do the work about their pain points, and measure current cycle times and approval delays. These become your baseline. ## Step 3: Establish an implementation team Contract lifecycle management touches every function, so the team should too: legal, procurement, sales, finance and IT. Name an executive sponsor with the authority to secure resources and settle disagreements between departments. - **Project manager:**runs the plan, tracks milestones and dependencies - **Subject matter experts:**define requirements and test the configuration - **IT lead:**owns integrations, security and data governance - **Change lead:**plans communication, training and adoption Agree how decisions get made and how often the team meets. Ownership questions are where many projects stall, which is why we wrote about [the contract management ownership trap](https://aavenir.com/clm-ownership-trap/). ## Step 4: Select your contract management software Use the objectives from step 1 as your evaluation criteria. Key questions include whether the platform can grow with you, how it connects to your existing systems, how it protects contract data and whether people will actually enjoy using it. Define your AI requirements early. Do you need clause extraction, review against a playbook, obligation tracking or portfolio wide question answering? Ask each vendor to show these on your own contracts, and ask who approves AI output. In Aavenir, [Avy](https://aavenir.com/platform/avy-ai-assistant/) reviews and extracts, and a person approves every result. Consider deployment too. If your company runs ServiceNow, a native app uses the roles, security and audit history you already govern. Compare the options on our [deployment options](https://aavenir.com/platform/deployment-options/) page. ## Step 5: Standardize templates and clause libraries Automation multiplies whatever you give it, so tidy your language first. Work with legal to identify the most common contract types, such as master service agreements, nondisclosure agreements and supplier agreements, and the clauses used most often. Build base templates for each category with variations for regions or business units. Organize the [clause library](https://aavenir.com/glossary/contract-clause-library/) by category and risk level, with approved fallback language for each position. Set an approval process for template changes, and agree who owns each template. ## Step 6: Plan your implementation strategy Roll out in phases. A pilot in one department or contract type lets you learn and build confidence before expanding. Set a timeline with clear milestones for configuration, integration, migration, training and testing, and leave buffer time for the surprises every project has. Define what success means for each phase. Early phases may focus on basic use and adoption, later ones on advanced features. Keep a steering group meeting regularly to resolve issues and keep the project aligned with business goals. ## Step 7: Integrate with your business systems A contract system that stands alone creates double entry. Identify the connections that matter most: enterprise resource planning for financial data, customer relationship management for sales contracts, procurement for supplier records and human resources for employment agreements. Write integration specifications that cover data mapping, sync frequency, error handling and security. Test with realistic data volumes before go live. See the [integrations](https://aavenir.com/integrations/) Aavenir supports. ## Step 8: Migrate legacy contracts Migration is often the hardest part. Start by cataloging existing contracts by type, date, location and business importance. Prioritize active and high value agreements first. Agree a standard set of metadata fields before importing, so the new repository is searchable from day one. AI extraction reads legacy contracts and fills those fields at volume, and people spot check samples across contract types and periods to confirm accuracy. See [AI contract extraction](https://aavenir.com/platform/ai-contract-extraction/). **Want to see legacy contracts imported?**Bring a folder of signed agreements. Build training by role: requesters need to know how to start a contract, reviewers how to redline and approve, and administrators how to maintain templates and workflows. Short, task based sessions work better than a single long demo. Name champions in each department who can answer questions and feed issues back to the project team. ## Step 10: Measure, review and improve Go live is the start, not the finish. Compare results against the baseline from step 1: cycle time, approval delays, compliance issues and renewal outcomes. Ask users what still slows them down. Use what you learn to refine workflows, tighten templates and decide which contract types or departments come next. Most teams then extend into obligation tracking after signature, which is where much contract value sits. Read about [contract obligation tracking](https://aavenir.com/use-cases/contract-obligation-tracking/). ## The bottom line A contract lifecycle management implementation succeeds when goals are clear, ownership is agreed, language is standardized and people are trained before the system is switched on. Follow these ten steps in order, measure against your own baseline and expand from proof. ### In this article - Step 1: Define your contract management objectives - Step 2: Assess your current process and workflows - Step 3: Establish an implementation team - Step 4: Select your contract management software - Step 5: Standardize templates and clause libraries - Step 6: Plan your implementation strategy - Step 7: Integrate with your business systems - Step 8: Migrate legacy contracts - Step 9: Train every stakeholder - Step 10: Measure, review and improve **Plan your implementation with us**Bring your goals and a sample of contracts. Most fail for organizational reasons: unclear objectives, no executive sponsor, unresolved ownership between legal and procurement, messy templates and too little training. Software choice matters, but planning and adoption decide the outcome. Read about [the contract management ownership trap](https://aavenir.com/clm-ownership-trap/). ### ### Should we clean up templates before implementing contract management software? Yes. Automation and AI work against the language you give them, so consolidate clause variants, define fallback positions and agree template ownership first. Otherwise the system simply speeds up inconsistency. A well organized [clause library](https://aavenir.com/glossary/contract-clause-library/) is the foundation. ### ### How do you migrate legacy contracts into a new system? Catalog existing contracts, prioritize active and high value agreements, and agree standard metadata fields. Then use AI extraction to read contracts and fill those fields at volume, with people spot checking samples for accuracy before go live.
