Fix the front door and the rest of vendor management gets easier. SM **Sonal Mehta**Jun 21, 2022 ยท 4 min read Poor transparency, data spread across systems and manual collaboration are the vendor management problems procurement teams raise most often. This post began as a recap of an Aavenir webinar with the [Sourcing Industry Group](https://sig.org/) on managing supplier risk through centralized onboarding and source-to-pay collaboration. The themes have only grown more important since. Vendor management goes beyond managing relationships. It is also about the experience suppliers have working with you: how easy it is to register, get approved, submit invoices and get paid. This guide covers why onboarding is where vendor management succeeds or fails, and how automation helps. Key takeaways - Vendor management is an ongoing process that starts at onboarding - Inconsistent supplier information and slow approvals create compliance risk and off contract buying - Onboarding must include due diligence, not just data collection - Supplier portals cut status inquiries and let relationship managers manage relationships - A connected onboarding process improves returns from sourcing and procure to pay investments ## Why does vendor management matter more now? Supply chains have been volatile for years: pandemic disruption, shipping bottlenecks, sanctions, tariffs and supplier failures. Each event tests how quickly a company can find, approve and pay a new supplier, and how well it knows the ones it already has. Many procure to pay implementations also fall short of their expected returns because they neglect the supplier side: enablement, onboarding, communication and everyday usability. If suppliers find your process hard, they work around it, and so do your buyers. ## What vendor management challenges do teams face? Vendor management is never finished. The complaints procurement teams share are remarkably consistent: - Constant requests from suppliers for invoice and payment status - Relationship managers who spend their time collecting documents and sending updates instead of managing relationships - Customers or projects delayed because a needed supplier could not be onboarded in time - Supplier details that differ between procurement, finance and the contract - Long approval and verification steps that push buyers to use suppliers without purchase orders Most of these trace back to onboarding. The biggest onboarding problems are inconsistent information and compliance risk, and slow, manual verification makes both worse. ## Why must onboarding include due diligence? Onboarding is not just collecting a supplier's name, address and bank details. It is the point where you check that the supplier is who they say they are, that they meet your standards and that you understand the risk they bring. Too many supplier relationships still begin without a formal check. | Check | What it covers | Why it matters | | Identity and registration | Legal entity, tax identity, ownership | Prevents fake or duplicate suppliers | | --- | --- | --- | | Bank details | Verified account information | Reduces payment fraud | | Sanctions and watchlists | Screening of the company and its owners | Meets legal obligations | | Financial health | Stability and dependence | Reduces risk of supplier failure | | Security and privacy | Controls over your data and systems | Protects customer and company data | | Certifications and insurance | Required documents and their expiry dates | Keeps the relationship compliant | Automating these checks keeps them consistent and fast, so speed does not come at the cost of control. See [vendor risk assessment](https://aavenir.com/glossary/vendor-risk-assessment/). ## How does automation improve onboarding? An automated onboarding workflow replaces email and spreadsheets with a single process: - The buyer requests a new supplier, with the business reason. - The supplier registers through a portal and uploads its information and documents. - Automated checks validate tax, bank and sanctions data, and a risk questionnaire is sent based on category. - Procurement, finance, security and legal review in parallel, each seeing only what they need. - The approved supplier record flows to finance and procurement systems, linked to its contract. [Onboardingflow](https://aavenir.com/solutions/vendor-onboarding-software/) runs this process natively on ServiceNow or standalone, so supplier data is captured once and used everywhere. ## What role do supplier collaboration portals play? A supplier portal changes the relationship. Instead of emailing your team for every update, suppliers log in to register, update their details, answer questionnaires, respond to sourcing events, see their obligations, submit invoices and check payment status. That takes the routine load off relationship managers, so they can manage performance and strategy. It also improves data quality, because suppliers maintain their own information under controlled review rather than sending changes by email. Track a small set of measures from your current baseline: time from supplier request to approval, the share of suppliers onboarded through the portal, the number of supplier records with missing or expired documents, and spend with suppliers that bypassed onboarding. Ask suppliers too. A short survey after onboarding shows where the process confuses them, and their answers often point to the same steps that slow your own reviewers. Fixing those steps helps both sides. ## How does onboarding connect to the rest of source-to-pay? Onboarding works best when it is connected. Shortlisted suppliers can start onboarding during a sourcing event, so the award is not delayed. The approved supplier record carries into the contract, so names and terms match. Obligations from the contract, such as insurance or certification requirements, are tracked against the same supplier record. And invoices are checked against verified bank details and contract prices. When the whole chain shares one supplier record, procurement gets more return from its sourcing and procure to pay investments, and suppliers get a simpler experience. See [source to contract](https://aavenir.com/use-cases/source-to-contract/). ## The bottom line Vendor management succeeds or fails at onboarding. Automate registration and due diligence, give suppliers a portal and connect the supplier record to sourcing, contracts and payments, and both your team and your suppliers spend less time chasing and more time working together. ### In this article - Why does vendor management matter more now? - What vendor management challenges do teams face? - Why must onboarding include due diligence? - How does automation improve onboarding? - What role do supplier collaboration portals play? - How do you measure onboarding performance? - How does onboarding connect to the rest of source-to-pay? **See Onboardingflow on ServiceNow**Portal registration, automated checks and parallel reviews. Vendor onboarding is the process of registering a new supplier, collecting and verifying its information, running due diligence checks and approving it to do business. Done well, it creates one accurate supplier record used by procurement, finance and legal. Read the [vendor onboarding](https://aavenir.com/glossary/vendor-onboarding/) definition. ### ### Why automate vendor onboarding? Manual onboarding is slow and inconsistent, which creates compliance risk and pushes buyers to use suppliers without purchase orders. Automation applies the same checks to every supplier, runs reviews in parallel and gives suppliers a portal, so onboarding is faster and better controlled. See [Onboardingflow](https://aavenir.com/solutions/vendor-onboarding-software/). ### ### What due diligence should onboarding include? At minimum, verify the supplier's legal identity, tax and bank details, and screen against sanctions lists. Depending on category and risk, add financial health, security and privacy questionnaires, certifications and insurance. Track expiry dates so checks stay current.
