Most of it has held, and some of it has sped up. Here is the 2026 view. PS **Pranjali Singh**Dec 09, 2022 ยท 4 min read Accounts payable is the process of recording what the company owes suppliers for goods and services received, checking those bills and paying them on time. It looks routine, but it decides whether cash flow is predictable, whether every cost is captured and whether suppliers want to keep working with you. When we wrote this outlook at the end of 2022, we named the trends we expected to shape the function. Nearly four years on, the same themes are still the ones that matter, and several have moved from early adoption to expectation. This update keeps the original seven and says what has changed. Key takeaways - Teams are moving accounts payable onto one platform rather than a patchwork of tools - AI extraction and classification are now expected, not experimental - Payment fraud keeps rising, so controls must be continuous rather than periodic - Dashboards turn accounts payable data into cash and supplier insight - Supplier portals and electronic invoicing cut inquiries and data entry - Leading teams reduce invoice volume at the source, not just process it faster ## 1. Why are teams consolidating accounts payable onto one platform? Accounts payable software is now standard in large organizations. What has changed is the push to stop running it as a separate island. When invoice data, purchase orders, contracts and supplier records live in one system, staff stop hunting for information across applications, training is simpler and leaders can report from a single source. For ServiceNow customers, that often means running accounts payable in the same instance as procurement, vendor management and contracts, so an invoice exception can be resolved with the buyer and the contract owner on the same record. ## 2. How is AI changing invoice processing? Invoices rarely arrive alone. The same inbox receives credit notes, statements, payment reminders and contracts. AI can classify each document, extract the fields that matter from any layout and map them for matching and approval. The lesson of the last few years is that AI depends on good data. Clean supplier records, consistent purchase orders and clear tolerances make extraction and matching far more accurate. The newer step is AI that acts on exceptions rather than only reading invoices. It can draft the query to a supplier about a price difference, propose the right cost center from past coding or suggest which approver should see an invoice. Each suggestion still goes to a person, who accepts or changes it, and the decision is logged. ## 3. Why does data security matter more in accounts payable? Accounts payable teams hold bank details, tax information and payment data for every supplier. That makes them a prime target for fraud: fake invoices, changed bank details and impersonation of executives or suppliers by email. Automation helps, but only when controls are built in: verified changes to supplier bank details, segregation of duties, approval limits and alerts on unusual payments. Choose platforms with independently audited security, and keep supplier banking changes inside a controlled onboarding workflow such as [Onboardingflow](https://aavenir.com/solutions/vendor-onboarding-software/). ## 4. How can accounts payable data guide the business? Accounts payable sees every commitment the company pays. A good dashboard shows what is due, overdue and outstanding, so treasury can plan cash and managers can clear backlogs in the right order. As processing becomes automated, the skills a finance team needs change too. Less time goes into keying data and more into analysis, problem solving and working with suppliers and buyers on the root causes of exceptions. Useful views include spend by supplier and category, invoices waiting by approver, exceptions by cause and discounts offered against discounts captured. Each one points to a specific action rather than a general concern. ## 5. Why are supplier portals and electronic invoicing growing? A supplier portal gives vendors one place to submit invoices, update their details and check payment status. Features such as turning a purchase order into an invoice in a few clicks reduce errors at the source, and status updates cut the inquiries that fill accounts payable inboxes. Electronic invoicing goes further, replacing documents with structured data. Governments in many regions now require it for some or all business to business and business to government transactions, which has made it a planning item rather than an option. Check the rules in each country where you buy. ## 6. What do proactive controls look like? Controls used to mean a sample audit after the fact. Now machine learning can watch accounts payable data continuously and flag problems as they happen: - Duplicate invoices and duplicate payments - Segregation of duties conflicts - Changes to supplier payment methods or bank details - Unauthorized edits to invoices or approvals - Invoice lines priced above the contract rate The last check is the one most teams miss. A purchase order match confirms you ordered something. A contract check confirms you were charged what you agreed. See [invoice to contract compliance](https://aavenir.com/use-cases/invoice-to-contract-compliance/). ## 7. Why are companies cutting invoice volume? The fastest invoice to process is the one you never receive. Companies with high transaction volumes are consolidating purchase orders so many deliveries are billed together, joining group purchasing arrangements and using self billing or evaluated receipt settlement, where the buyer pays on the goods receipt without waiting for an invoice. | Approach | How it reduces volume | Best for | | Purchase order consolidation | Many deliveries billed on one invoice | Frequent, repeat purchases | | --- | --- | --- | | Consolidated or group purchasing | Fewer suppliers and fewer bills | Common categories across sites | | Self billing | Buyer issues the invoice from receipts | Stable, high volume suppliers | | Evaluated receipt settlement | Payment from the goods receipt, no invoice | Contracted prices and reliable receiving | ## What should accounts payable teams do next? Pick the two trends that cost you most today. For many teams that is manual extraction and weak fraud controls. Measure your baseline, such as cycle time, touchless rate and exceptions by cause, then automate and measure again. [Invoiceflow](https://aavenir.com/solutions/accounts-payable-automation/) extracts invoice data with AI, runs two way and three way matching, checks lines against contract terms and gives accounts payable managers a live dashboard, with a person approving every payment. **See accounts payable on one platform**We will show extraction, matching, contract checks and the accounts payable dashboard on a sample of your invoices. One platform, AI extraction, continuous controls, useful dashboards, supplier portals and fewer invoices are now the baseline for a well run finance team. ### In this article - 1. The trends that have lasted are consolidation onto one platform, AI extraction and classification, stronger fraud controls, analytics for cash planning, supplier portals and electronic invoicing, continuous controls and reducing invoice volume at the source. Most teams start with extraction and matching. See [Invoiceflow](https://aavenir.com/solutions/accounts-payable-automation/). ### ### How does automation reduce accounts payable fraud? Automation applies the same checks to every invoice: duplicate detection, verified supplier bank changes, approval limits and alerts on unusual payments. Continuous monitoring flags problems before payment rather than in a later audit. Controls work best when supplier changes run through onboarding. Learn about [vendor validation](https://aavenir.com/glossary/vendor-validation/). ### ### What is evaluated receipt settlement? Evaluated receipt settlement is a payment method where the buyer pays the supplier from the goods receipt and the agreed contract price, without waiting for an invoice. It suits stable suppliers with contracted prices and reliable receiving, and it removes invoice processing for those purchases.
