It runs from the first sourcing event to the last day of the contract. SM **Sonal Mehta**Jan 04, 2023 ยท 4 min read Procurement revolves around vendors. You find suppliers, invite them to bid, evaluate them, onboard the right ones, negotiate and sign, and then work with them for the life of the contract. That whole cycle, from sourcing to signed contract and beyond, is where vendor management either makes or breaks procurement. A one size fits all approach does not work, because vendors play very different roles for the business. This roadmap breaks vendor management across source to contract into five steps, and shows how to connect them so information flows forward instead of being retyped at every stage. Key takeaways - Vendor management spans the whole source to contract cycle and continues after signature - Selection should move from requirements to vetted, scored candidates - Evaluation is ongoing: qualification, sourcing and performance together - Onboarding sets expectations and verifies every vendor before the first order - Contracts and compliance checks keep the relationship on agreed terms ## Why does vendor management matter across source to contract? Source to contract starts with a sourcing strategy and, in its narrow definition, ends with a signed contract. Modern practice goes further and treats ongoing collaboration as part of vendor management for the whole relationship. Done well, it brings clear benefits: - **Better efficiency:**with clear communication, vendors understand your needs and anticipate them - **Better fit:**both sides see where the supply chain can be simplified - **Operational gains:**good relationships lead to shared ideas and process improvements - **Lower cost:**keeping a strong vendor is cheaper than sourcing a new one, and long term partners tend to offer better terms For the definitions behind this, see [what source to contract means](https://aavenir.com/blog/what-is-source-to-contract/) and [vendor management](https://aavenir.com/glossary/vendor-management/) in our glossary. ## Step 1: select the right vendors Vendor selection sounds simple but involves a series of steps. It usually has three stages: find, vet and select. You analyze requirements, identify potential vendors, assess and validate them, then talk to the shortlist and choose. Sourcing tools help at each stage. Requirements go into a request for information, quotation or proposal, potential vendors are invited and responses are scored on multiple weighted criteria, so the most qualified vendor wins on evidence. In practice, evaluation never stops: it continues after onboarding and signature. A useful way to think about it is supplier qualification, plus supplier sourcing, plus supplier performance evaluation. Before onboarding, assess vendors against industry standards and your own benchmarks. Careful assessment reduces the regulatory, contractual and security risk of working with outside systems and people. See [vendor risk assessment](https://aavenir.com/glossary/vendor-risk-assessment/). | Assessment area | What to check | | Financial | Stability, ownership, dependence on a few customers | | --- | --- | | Security and privacy | Controls, certifications, data handling | | Compliance | Licenses, sanctions screening, sustainability commitments | | Operational | Capacity, locations, continuity plans | | References | Track record with similar customers | ## Step 3: onboard the vendor Onboarding a vetted vendor is the first step of the vendor lifecycle. It lets you set expectations for the relationship, understand the vendor's motivations and establish what each side can expect from the other. Well begun is half done, so this stage needs real diligence: know your vendor, verify and validate their information, collect documents and bank details, set expectations and only then activate them for orders. A self service portal lets vendors supply most of this themselves, with approvals routed to the right reviewers. See [Onboardingflow](https://aavenir.com/solutions/vendor-onboarding-software/) and [vendor onboarding](https://aavenir.com/glossary/vendor-onboarding/). ## Step 4: negotiate the contract With both sides ready for a long term relationship, authoring, negotiating and signing the contract is the most critical stage. A sound contract is the basis of a healthy working relationship. Procurement and legal can build a set of approved contract templates that everyone in the business uses. They save time and money, improve governance and reduce supplier risk. When sourcing and contracting are connected, award data, pricing and agreed terms flow straight into the draft, so nothing is retyped. See [Contractflow](https://aavenir.com/solutions/enterprise-contract-management-software/). **See source to contract on one platform**We will show RFPflow, Onboardingflow and Contractflow passing one vendor record from sourcing event to signed contract, with Aavenir AI reading along the way. It has to continue for the life of the relationship, because your own compliance depends on your vendors' compliance. - Track contract obligations with named owners and due dates - Refresh certificates, insurance and risk assessments on schedule - Score vendor performance against agreed service levels - Review sustainability and other policy commitments where they apply Read about [contract obligation tracking](https://aavenir.com/use-cases/contract-obligation-tracking/) and [supplier performance management](https://aavenir.com/supplier-performance-management-contracts/). ## What does an effective vendor contract management system include? Vendor contract management needs commitment from the whole organization, so agreements are made in a prescribed, controlled and centrally managed way and enforced consistently. It covers who may sign, where contracts are stored, the tools that track them, the provisions and performance measures every contract must include, and how customer and company information is protected. Of all parts of vendor management, contracts are often the hardest to handle well, whether negotiating, tracking or simply finding them. Standalone sourcing, onboarding and contract tools make it worse, with duplicate data entry, inconsistent records and poor visibility. Running them on one platform, such as RFPflow, Onboardingflow and Contractflow on ServiceNow, closes those gaps. See [vendor contract management](https://aavenir.com/glossary/vendor-contract-management/). ## The bottom line Vendor management runs from selection through evaluation, onboarding, contracting and ongoing compliance. Connect the five steps on one vendor record, and every relationship starts on firm ground and stays on agreed terms. ### In this article - Why does vendor management matter across source to contract? - Step 1: select the right vendors - Step 2: score, assess and evaluate - Step 3: onboard the vendor - Step 4: negotiate the contract - Step 5: keep vendors compliant - What does an effective vendor contract management system include? **See vendor management end to end**RFPflow, Onboardingflow and Contractflow together, on ServiceNow or standalone. Select vendors through a structured sourcing event, evaluate and assess the shortlist, onboard the chosen vendor with verified information, negotiate and sign the contract, then monitor compliance and performance for the life of the relationship. See [source to contract](https://aavenir.com/use-cases/source-to-contract/). ### ### Why connect sourcing, onboarding and contracting? When they run in separate tools, the same vendor data is typed again at each stage, records drift apart and nobody sees the full relationship. On one platform, the vendor record and agreed terms carry forward from award to contract. Read about [Onboardingflow](https://aavenir.com/solutions/vendor-onboarding-software/). ### ### Is vendor evaluation a one time activity? No. Evaluation starts with qualification during sourcing and continues after signature through performance scoring, risk reviews and compliance checks. Ongoing evaluation shows when to renew, renegotiate or replace a vendor. Learn about [vendor risk management](https://aavenir.com/solutions/vendor-risk-management-software/).
