--- title: 3 Key Challenges in Managing Contract Obligations | Aavenir url: https://aavenir.com/3-key-challenges-in-managing-contract-obligations/ description: Why contract obligations slip after signature, from manual extraction to unclear ownership and poor visibility, and how to track every commitment to completion. updated: 2026-11-07 --- [Home](https://aavenir.com/) / [Blog](https://aavenir.com/blogs/) / Contract obligation challenges Obligation management # 3 key challenges in managing contract obligations Signing is the start, not the finish. Most of a contract's value and risk sits in commitments that nobody is tracking. SM **Sonal Mehta**Jun 03, 2022 ยท 4 min read Companies spend weeks negotiating the terms of a contract, then attention drops the moment it is signed. Yet the signature is where the real work begins. Delivery milestones, service levels, payment terms, reporting duties, price caps and notice periods all have to be met, on both the buy side and the sell side, for the deal to deliver what was negotiated. When contract obligations are not managed, it is hard to tell whether a deal is working as agreed or quietly in breach. Penalty clauses trigger, service credits go unclaimed and renewals roll over on old terms. This post looks at the three challenges behind that, how they have shifted since 2022, and what a working obligation process looks like in 2026. Key takeaways - Obligations are buried in contract language and hard to find by hand - Without a named owner, an obligation is everyone's job and nobody's - Performance data sits in separate systems, so actual and agreed values are rarely compared - AI can now extract obligations from every contract, with a person approving the list - Obligation management is continuous, for the whole life of each contract ## What are contract obligations, and why do they slip? [Contract obligations](https://aavenir.com/glossary/contract-obligations/) are the promises each party makes in a contract: what must be delivered, by when, to what standard, and what happens if it is not. They include service level agreements, entitlements, reporting and audit rights, insurance requirements, payment milestones and renewal notice periods. They slip because the contract is filed and the team moves on to the next deal. Some contracts include penalty clauses that apply when a party misses an obligation. If nobody is watching, the result is missed money, avoidable penalties and, at worst, a [breach of contract](https://aavenir.com/glossary/breach-of-contract/). ## Challenge 1: finding obligations by hand is slow and unreliable Large organizations hold thousands of contracts, and each one may carry dozens of commitments. Those commitments rarely sit in a tidy schedule. They are spread through dense legal language, page after page, and someone has to find, read and interpret each one. The usual workaround is a spreadsheet of milestones and penalty terms, filled in by hand from contracts stored across shared drives, email and old repositories. Entering that data takes hours, mistakes are common and the sheet goes stale the moment a contract is amended. ### What has changed AI extraction now reads every executed contract, including scanned legacy paper, and lists each obligation by category with its dates and the clause it comes from. A contract manager reviews and approves the list before anything is assigned. The hours of reading become minutes of checking. See [AI contract extraction](https://aavenir.com/platform/ai-contract-extraction/). ## Challenge 2: nobody clearly owns each obligation Ask who is responsible for confirming a supplier's quarterly report or renewing an insurance certificate, and the answer is often unclear. The person who keeps the spreadsheet is rarely the person who manages the supplier, and neither may know that the obligation exists. Without clear accountability, obligations are not delegated, reminders are not sent and nothing surfaces until there is a problem. Manual processes do not scale and do not warn anyone ahead of a deadline. ### What good looks like - **Every obligation has a named owner**, assigned when the extracted list is approved - **Reminders go out before the due date**, with escalation if the task is not closed - **Evidence is attached**to close the obligation, such as a report, certificate or delivery note - **Reassignment is easy**when people change roles, so obligations are not orphaned ## Challenge 3: there is no cross functional view of performance Comparing what a contract promised with what actually happened needs data from several systems: enterprise resource planning for purchases and receipts, customer relationship management for sell side commitments, finance systems for payments and human resources systems for people related terms. That data rarely meets in one place. The result is a lack of visibility into obligation performance. When actual and agreed values differ, nobody notices in time. Non compliance hurts revenue, raises the risk of penalties and disputes, and strains relationships with suppliers and customers. Treat it as a process that runs for the life of every contract, not a one time project. The steps below work whatever tools you use, and get much faster with the right platform. - Bring every executed contract into one repository - Extract obligations by category, with dates and source clauses, and have a person approve the list - Assign an owner and a due date to each obligation - Send reminders ahead of each deadline and escalate when tasks slip - Collect evidence and check it against the clause before closing the task - Report on open, overdue and completed obligations by contract, supplier and owner In [Obligationflow](https://aavenir.com/solutions/contract-obligation-management-software/), Aavenir AI reads each executed contract and lists every commitment. Once a contract manager approves the list, each obligation goes to its owner, and Aavenir AI checks returned evidence, such as an insurance certificate, against the clause. A person approves every result. **See obligations extracted from your own contract**Bring one signed agreement. Extract them from every contract, give each one an owner and a deadline, and track evidence until the contract ends. ### In this article - What are contract obligations, and why do they slip? - Challenge 1: finding obligations by hand is slow and unreliable - Challenge 2: nobody clearly owns each obligation - Challenge 3: there is no cross functional view of performance - How do you fix obligation management? - What do you gain from managing obligations well? **Track every commitment after signature**Aavenir AI extracts obligations, your team approves them, and Obligationflow assigns and tracks each one. It is the ongoing process of finding every commitment in a contract, assigning an owner, tracking deadlines and confirming each obligation is met with evidence. It runs for the whole life of the contract, on both buy side and sell side agreements. See [contract obligation tracking](https://aavenir.com/use-cases/contract-obligation-tracking/). ### ### Why are contract obligations missed? Mostly because they are buried in contract language, tracked in spreadsheets that go stale and not assigned to a named owner. Performance data also sits in separate systems, so nobody compares what was promised with what happened. Read about [Obligationflow](https://aavenir.com/solutions/contract-obligation-management-software/). ### ### Can AI extract obligations from contracts? Yes. AI can read executed contracts, including scanned legacy paper, and list each obligation with its category, dates and source clause. A contract manager should review and approve the list before owners are assigned. In Aavenir, a person approves every AI result. Learn about [Avy](https://aavenir.com/platform/avy-ai-assistant/).
